Sorting report results
You can sort any column of data in a report. Choosing a column to arrange its values in ascending or descending order rearranges data in all columns appropriately.

To see if a column is sorted, look at the arrow in the column header (the Show sort buttons must be displayed):
  • Gray arrow - Not sorted
  • White arrow pointing up - This column is sorted in ascending order
  • White arrow pointing down - This column is sorted in descending order

To sort the report by a column:

  • Right-click on the column header, point to Sort, then select either Ascending or Descending.
    Note: If DHTML is disabled, you cannot sort a column by right-clicking its header.
    • A gray arrow at the top of a column indicates that the data in the column is unsorted.
      • If the gray arrow is pointing up, you can click it to sort the data in that column in ascending order.
      • If the gray arrow is pointing down, you can click it to sort the data in that column in descending order.
    • A white arrow at the top of a column indicates that the data in the column is already sorted.
      • If the white arrow is pointing up, it means the data is sorted in ascending order. If you click on it, the data will be resorted in descending order.
      • If the white arrow is pointing down, it means the data is sorted in descending order. If you click on it, the data will be resorted in ascending order.

Showing and hiding sort buttons
You can use the sort buttons in the column headers to sort a specific column. If DHTML is disabled, you must use either the sort buttons or the Sort panel to sort columns and rows. However, if DHTML is enabled, it may be more convenient for you to right-click columns to sort.

To show the sort buttons:

From the View menu, select Sort buttons.

  • If DHTML is disabled: From the View drop-down list, select Sort buttons, then click the Go icon next to the drop-down list.

The sort buttons display on the report and the Show Sort buttons menu choice now has a check mark next to it, indicating that it is selected.

To hide the sort buttons, repeat the step you used to show them.

Sorting results by multiple columns
You can sort a report by up to three columns. For example, in a report that shows store profit within multiple divisions, you could sort first by division then by profit. This would allow you to see the most profitable stores within their respective divisions.

To sort results by multiple columns

  1. From the Data menu, select Sort. The Sort dialog box is displayed.
    • If DHTML is disabled: From the Data menu, select Sort, then click the Go icon next to the drop-down list. The Sort panel is displayed.
  2. From the drop-down list, select the first column name to sort by, and whether to sort it in ascending or descending order. Select the second and third columns (optional) as in the previous step.
  3. Click Apply to view the report with these sorting selections.

    Click OK to view the report with these sorting selections and close the dialog box or panel.

Sorting results by attribute forms
You can also sort report data by attribute forms, including attribute forms not currently displayed on your report. For example, you can sort by the ID form of Customer, which is displayed on your report, and also sort based on the DESC (description) form, which may not be displayed on the report.

To sort results by attribute forms:

  1. From the Data menu, select Sort. The Sort dialog box is displayed.
    • If DHTML is disabled: From the Data menu, select Sort, then click the Go icon next to the drop-down list. The Sort panel is displayed.
  2. From the drop-down list, select the first attribute form to sort by, and whether to sort it in ascending or descending order. You can also select the second and third attribute forms to determine how those forms are sorted.
  3. Click Apply to view the report with these sorting selections.
