Print reports
You can print reports displayed in Grid, Graph, and/or Grid and Graph mode. You can also choose to print reports through your browser or PDF. PDF printing offers the most flexibility because it allows you to adjust PDF-specific settings and functions independently of your browser's print settings.

To enable PDF printing:

  1. Select Preferences in the top right of the page, then click the General on the left side of the page (it should already be selected).
  2. From the Output Formats field at the bottom of the page, select the Use PDF for printing reports check box. With this option selected, you can use the Show Printable Version button in the Print Options page to preview a report as a PDF file before printing.

To print a report:

  1. Format the report as you want it to appear when printed.
  2. Click the Print icon  at the top of the page. The Print Options page opens.
  3. Select suitable options for printing your report. 
  4. Click Show Printable Version at the bottom of the Print Options page.
    • Browser printing: This displays the printable version of the report. Anything within the lines (print area) will be printed; anything outside of the print area will not print.
    • PDF printing: This displays the report in a PDF preview window. You can adjust a variety of PDF-specific settings in this screen before printing the report.
  5. To print the report, select  File, then click Print.)

    Note (about browser printing): If you want to change the appearance of the printable version before printing, click the browser's Back button to return to the Print Options page. There you can change the number of rows and columns per printed page, scaling, and other print options. 

    Note (about browser printing): Be sure that the printer settings for the browser match those you have chosen for the report in MicroStrategy Web. For example, if you choose to print the report with a landscape orientation in MicroStrategy Web, check that the browser's printer properties are also set to print in a landscape orientation.  

Note: Remember, there are more than just these two ways to print a report in Web. For example, you can choose to export a report to Excel and print it directly from Excel.

Print Options page
In Web, you can choose to either print using your browser or using a PDF. When you print through your browser, your report or document prints according to how your browser's printer settings are configured. The MicroStrategy Web printer settings are intended to help you format reports before you print them. This does not apply to PDF printing because PDF printing occurs through a PDF-formatted preview.

The Print Options page opens when you click the Print icon . Either you or your administrator can choose settings that would allow you to skip the Print Options page.

You can select print options using the Preferences menu, as follows:

  1. Select Preferences in the top right of the page, then click the Print link under Preferences on the left side of the page.
  2. Select the defaults for each print option.
  3. Select the Show options when printing check box if you want these options to be presented to you again when you print a report.
  4. Click Apply at the bottom of the page.
You can also choose whether or not to have the Print Options page open in a new window. To make this selection, click Preferences at the top of the page, then click the General link on the left of the User Preferences page. Clear the Re-use new window for each export, print, PDF action check box.

The Print Options page settings vary depending on what form of printing you select in User Preferences.
To use PDF for printing, select the Use PDF for printing reports check box in the General options within the User Preferences. The following options appear in the Print Options page: 
  • Print (PDF only)
    You can use the drop-down menu to specify whether to print the Whole Report or the Portion displayed only.
  • Header and Footer
    You can specify the text to be displayed at the top (header) and at the bottom (footer) of each printed page. For example, your administrator can add header and footer files to print with each page. Click the Edit Custom Settings button to access the Header/Footer Editor page. You can specify what text to print in the left, center, and right portions of the header and footer--you can simply type this text or insert fields specific to the report by clicking "insert" icons near the top of the page. These options include: page number, number of pages, date, time, project name, report name, template name, filter name, filter details, and user name.
    For example, to add text in the footer such as "Page 1 of x" (where x is the total number of pages in the report), click in the center text box in the Footer portion. Type the word "Page " then click the Insert page number icon. Type " of " then click the Insert number of pages icon. This would look like the following when you are finished: "Page &[Page] of &[NPages]" (without the quotation marks).

    You can add formatting to your header and footer text by using HTML codes. For example, <B> and </B> around a word causes it to appear in bold font. You can also use <I> and </I> for italics and <U> and </U> for underlines.

    The <FONT> tag can be used to format the font of your text, for example, <FONT face="Courier New" size="4" color="#ff0000" style="background-color: #ff0000">Your text</FONT>.

    Use a <BR> code to insert a carriage return between two lines.
  • Grid rows per printed page (HTML only)
    You can set the maximum number of rows to be printed on each page to override the defaults set by your administrator.
  • Grid columns per printed page (HTML only)
    You can set the maximum number of columns that print on each page to override the defaults set by your administrator. The actual number of columns that can be printed on a page depends on the width of each column and the width of the printer's output.
  • Scaling
    To adjust the amount of the report's content (and thus, the size of the font) that prints on a page, select one of two options:
    • Adjust font to % of original: To shrink the font size manually, select this choice, then type in a percent. Specifying 100% does not change the size.
    • Fit to page: To have the system calculate the necessary size of the font, select this choice and one or two sub-options:
      • All rows: Select this check box to attempt to fit all rows in the report on one page.
      • All columns: Select this check box to attempt to fit all columns in the report on one page.
  • Print the grid and the graph on the same page
    (Only appears when report is displayed in Grid and Graph mode) If you select this check box, the graph you are currently viewing will be placed on one page along with the corresponding grid. Additional sections of the report, if any, will be displayed on subsequent pages, always with the graph and its corresponding grid rows on the same page. If you clear the check box, the grid and graph will print on separate pages.

  • Orientation
    Select Portrait if you want the report to print vertically; select Landscape if you want the report to print horizontally. Verify that the browser's page orientation print settings are the same as the print options you choose in MicroStrategy Web.
  • Print cover page with filter details
    • Select this check box if you want filter details printed on a separate page before the contents of the report.
    • Clear this check box if you do not want filter details printed on a cover page.

  • Show/Hide advanced options(DHTML only)
    Click Show advanced options to set the paper size, margins, overflow size for the header and footer, and to enable the Embed Fonts setting.

    Note (about browser printing): For the report to print correctly, the orientation, paper size and margin settings and the settings in the browser's File, Page Setup option must match.

  • Paper size
    Select the size of the paper on which you want pages printed. Verify that the same paper size is selected in the browser's print settings.
  • Margins  (unit type)
    Specify the margins sizes for the printed report. Verify that the margins are set in the browser's print settings.
  • Maximum header/footer size (unit type)
    Lets you set the size at which the report header and footer can be overwritten. If the header or footer is larger than its maximum size and the report must use the space to display its content, the header or footer is cut off by the report content. If the report does not use the space, the entire header or footer displays regardless of size.
  • Expand all page-by fields (appears only if there is an attribute in the Page-by field) Allows you to print all combinations of items in the Page-by axis when printing a report that has one or more items in the Page-by axis. To print only the items currently displayed, clear this check box.
  • Embedded fonts (PDF only)
    Select this check box to use the original fonts chosen in the Document Editor to display and print the PDF, even on machines that do not have those fonts installed. This ensures the portability of the PDF.

  • Do not prompt me again
    Select this check box if, in the future, you want to skip the Print Options page and go directly to the print preview. Clear this check box if you want to use the Print Options page each time you print a report.

    You can also adjust this preference at the project level, through the User Preferences. To do so, follow these steps:
    1. Click Preferences at the top of the page.
    2. Click the Print link under Preferences on the left of the page.
    3. Select the Show options when printing check box if you want Web to display the Print Options page before printing.
      - OR -
      Clear the Show options when printing check box if you want Web to bypass the Print Options page when printing.
Print grid and graph
You can print both the grid and graph of a report, by selecting the print icon when you are viewing a report in Grid and Graph mode. The Print Options page displays, giving you the option to choose either to print the grid and the graph on the same page, or on separate pages.
  • Select the Print the grid and graph on the same page check box. The graph you are currently viewing will be placed on one page along with the corresponding grid. Additional sections of the report, if any, will be displayed on subsequent pages, always with the graph and its corresponding grid rows on the same page.
  • Clear the Print the grid and graph on the same page check box. The graph page viewed in MicroStrategy Web will be displayed as the first page, followed by as many grid pages as necessary to cover the data displayed in the graph. In this case, you can further specify how the grid portion will print: If there is an additional portion of the graph to print, a link at the bottom of the last page will take you to the next portion of the graph along with its accompanying grids.
Print documents
To print a document, click the Print icon on the Standard toolbar. The Print page opens. Select suitable options for printing your document.

Print HTML documents
To print a HTML document, click the Print icon on the Standard toolbar. A printable version of the HTML document opens in a new browser window. Use the browser's print capabilities to print the HTML document. (Choose Print from the File menu.) When printing, you do not have the capability to specify the scaling or number of grids and columns per printed page, unlike printing a report.
