History List
The History List displays messages about reports, documents, and HTML documents that you execute. Your administrator can set the project defaults to select how messages can be added to the History List. They can be added in either of the following methods:
  • A message for every submitted report, document, or HTML document can be automatically added to the History List.
  • Each user can decide, either during or after report, document, or HTML document execution, whether a message is to be added to the History List.

When you view the contents of the History List, you see a message (a row of information) for each report, document, and HTML document saved. Each message shows the status of a request and other identifying information, such as the object name and the time at which the message was created. A status of Ready means that an object saved to the History List has been fully executed.

If a plus sign (+) is displayed to the left of an HTML document message, click it to see the underlying children reports for that item.

The MicroStrategy Intelligence Server stores report, document, and HTML document results in a cache, allowing for their quick retrieval from the History List. The number of objects in the list is displayed under History List Description on the left.

Note: Objects do not remain in the History List indefinitely. The number of objects that each user can have in the History List and the length of time they remain there can be controlled by the administrator. Understanding the History List item limit is particularly important in regard to documents. Documents, which are generally composed of multiple dataset reports, are counted according to the number of dataset reports contained within the document. Each dataset report stored in that document counts for one entry in the History List.

Viewing the results of reports and documents
Once reports and documents are sent to the History List
, you can view their results.

To view report or document results in the History List:

  1. Click the report, document, or HTML document name in the History List.
  2. Check the message status as follows:
    • If the status is Ready, the results page is displayed.
    • If the status is Error (the object did not execute successfully), the error page is displayed.
    • If the results are either not ready or not in error, you are directed to the wait page, where you can further track the status of your request.
Add a report, document, or HTML document to the History List
The administrator can set a project default option to either add every report, document, and HTML document message to the History List automatically or to allow users to decide which items to save. If the administrator chooses to add objects to the History List automatically, every report, document, and HTML document you execute is saved in the History List. If the administrator chooses to let users decide, you must specify for each object you run whether you want to add it to the History List.

The options for adding a report, document, or HTML document include the following:
  • If you choose to add a report, document, or HTML document to the History List during the execution, click the Add to my History List button on the wait page. The button then changes to become the Go to my History List button, which allows you to track message statuses from the History List and access the results from there.
  • If you want to add a report HTML document to the History List after it is executed, from the File menu, select Add to my History List. If this option is not available, then the object has already been added to the History List.
A message indicating the current status of that object on the MicroStrategy Intelligence Server is then added to the contents of the History List.

Note: Objects do not remain in the History List indefinitely. Remove reports, documents, and HTML documents from the History List
To remove objects from the History List, you can do one of the following:
  • Select the check box of each message you want to remove and click Remove.
  • Click the Clear my History List link in the toolbar to remove all messages for reports, documents, and HTML documents you have requested.

Sort the History List
The History List can be sorted on any column by clicking the sort triangle in the column headings for Name, Status, or Message Creation Time.

Read/unread messages
When execution of a report or document is complete, the following applies to the associated messages in the History List:

  • If you have not yet seen the results, the message is marked Unread in bold text.
  • If you have seen the results, the message is marked Read in regular text.
  • If you open an object from the History List and then manipulate it (for example, if you pivot one of the rows or sort a column), the next time you view this object from the History List, the changes you made to it are reflected.
  • When you log out from your project, you clear all read messages from the History List, and any manipulation changes are discarded. These messages will not be part of the History List content in your next MicroStrategy Web session. However, you may have the option to specify how the messages in your History List are handled when you log out. For more information, see the Security section of Preferences.
Note: You may not have privileges to see all the logout options regarding the History List. For more information, contact your administrator.

Archived messages
Some messages in the History List have been archived. These messages contain historical data, and can be regarded as snapshots of the report at the time they were generated. The archived messages may appear multiple times in the History List, but the data in each remains the same as it was when the message was generated. Note that archived messages are generated by scheduled reports. The icon is unique, with a camera on top of the usual icon. When you retrieve one of these messages, the report name is prefixed with (Archived), and many operations are not available on the report page. These options are no longer listed or are disabled (grayed out). For additional information, contact your administrator.

View in-progress reports, documents, HTML documents, and data mart reports
During report execution, you can view the status of your request in the History List. The following applies to the in-progress information provided in History List messages:
  • You can view the progress of your request in the Status column.
  • To update all History List messages and get the current status of a request, click the Refresh my History List link in the left toolbar.
  • When the execution of a report, document, HTML document, or data mart report is complete, it is marked Ready.
  • If status is displayed as Error, clicking the object title displays the error page.
Waiting in Queue
Waiting in Queue is the status displayed when a report that has been requested is not yet running on the MicroStrategy Intelligence Server. Execution begins when all reports ahead of it in the queue are removed or completed.

Details of a report, HTML document, or data mart report
To access additional information for any report, HTML document, or data mart report in the History List, click the Details icon in the appropriate row. For more information, see Details of a report, document, HTML document, or data mart report.

Note: You must have the Web Report Details privilege in MicroStrategy Desktop to view the report details. For more information, contact your administrator.

Exporting from the History List
You can export a report or document directly from the History List page, without having to view the grid in the Result page first.
  1. Click the Export icon to the right of the object you want to export.
  2. If the report contains a prompt, answer the prompt and click Run in View Mode.
  3. Define the export options and click Export.

You can export a report or HTML document directly from the History List page, without having to view the grid in the Result page first.
  1. Click the PDF icon to the right of the object you want to export.
  2. If the report contains a prompt, answer the prompt and click Export.
  3. Define the export options and click Export.
View errors
The History List displays reports with errors or invalid reports as having a status of Error.

To delete a report with a status of Error from the contents of the History List, select the check box for that report and click Remove at the top of the far right column.

Note: Invalid reports are those that appear as part of the History List contents but have been removed or altered within the system, have problems in their definitions, or contain one or more errors of another type.
