Filtering overview
While viewing a report, you can choose to show the Report Filter, the View Filter, or both. While in Grid, Graph, or Grid and Graph view, you can use the Panels toolbar to display the View Filter, Report Filter, Page-By Section, and/or Object Browser. The Panels toolbar contains icons that correspond to each of these panels.

To reveal the View Filter, Report Filter, Page-By Axis and/or Object Browser:

  1. Click View, highlight Toolbars, then select Panels.
  2. Click the icon corresponding to the panel you wish to display.
    • To display the View Filter, click the View Filter icon .
    • To display the Report Filter, click the Report Filter icon
    • To display the Page-By Section, click the Page-By Axis icon
    • To display the Object Browser, click the Object Browser icon

Report Filter
The Report Filter is one or several conditions applied at the time the SQL is generated to return data from the warehouse. If the report is in Design mode, you can display and change the Report Filter. If the report is in Grid, Graph, or Grid and Graph view you can display but not change the Report Filter. Changing the Report Filter causes the report to re-execute and takes longer than changing the View Filter.

To display the Report Filter on a report, from the View menu, select Report Filter.

  • If DHTML is disabled: From the View drop-down list, select Report Filter, then click the Go icon next to the drop-down list.

You can also click the Report Filter icon on the Panels toolbar to reveal a report's Report Filter.

View Filter
The View Filter is one or several conditions that return a subset of the data in the original report. For example, if the original report has all stores in the Northeast region shown, you could choose to show Boston stores only by adding a condition to the View Filter. If the report is in Grid, Graph, or Grid and Graph view, you can display and change the View Filter. If the report is in Design mode you can display but not change the View Filter.

To display the view filter on a report, from the View menu, select View Filter.

  • If DHTML is disabled: From the View drop-down list, select View Filter, then click the Go icon next to the drop-down list.

You can use the right-click menu to quickly filter on a specific template object.

  1. From Grid, Graph, or Grid and Graph view, right-click any object on your template.
  2. From the context menu, select Filter On... The View Filter panel is displayed.
  3. Add conditions to the View Filter.

Note: For information about view filters in Report Services documents, see View Filters.

Add a condition to the Report Filter
Note: You can change the Report Filter only while editing the report in Design mode.

    1. Click Edit Report Filter. The Report Filter panel is displayed.
    2. Using the Object Browser on the left, navigate to find the object on which you wish to filter, or find the predefined filter you wish to add.
    3. Drag and drop the object onto the right side of the Report Filter panel (or HTML: select the item and click Add > ). Depending on the type of object, a new set of choices may appear:
      • If filtering an attribute: choose whether to Qualify or Select from a list (or not in the list) the new condition.
        • If you choose Qualify and are qualifying on the Day attribute, you can either type the day in or select it from a calendar (if DHTML is on). To select a date from the calendar, click the calendar icon next to the date field. A calendar appears. Click on a date to select it. To go to the next month, click the right arrow on the calendar. To go to the previous month, click the left arrow.
        • If you choose Select, you can use the Find link to search for a particular attribute. For more information on using wildcards in the search and an example, see Search syntax.
      • If filtering a metric: choose the comparison method and type a value or click the Metric link to compare it to another available metric.
      • If using a predefined filter: the filter name is displayed in the Report Filter. You cannot modify it. Note: If you added a prompted filter, the filter name is displayed initially, then the prompt occurs when the report is executed. After the prompt is answered and you return to edit the report filter, the prompted filter's definition is displayed rather than the filter name.
    4. Click the Apply icon to apply the new condition to the report.

Add a condition to the View Filter
Note: You can change the View Filter only if the report is in Grid, Graph, or Grid and Graph view.

Use this to further limit the information displayed in the original report.

To add a condition to the view filter:

    1. From the Data menu (or drop-down list), select Add View Filter Condition. The View Filter is displayed. Or, if the View Filter is already displayed, click the Add Condition link.
    2. From the Filter On drop-down list, select the object for which you will filter, and click Continue. Depending on the type of object you are filtering, a new set of choices appears:
      • If attribute: choose whether to Qualify or Select from a list (or not in the list) the new condition.
        • If you select Qualify, you can click the Attribute link to compare to another attribute.
Note: If you choose Qualify and are qualifying on the Day attribute, you can either type the day in or select it from a calendar (if DHTML is on). To select a date from the calendar, click the calendar icon next to the date field. A calendar appears. Click on a date to select it. To go to the next month, click the right arrow on the calendar. To go to the previous month, click the left arrow.
        • If you choose Select, you can use the Find link to search for a particular attribute element. For more information on using wildcards in the search and an example, see Search syntax.
      • If metric: choose the comparison method and type a value or click the Metric link to compare it to another available metric.
    3. Click the Apply icon to apply the new condition to the report. By default, the change is applied to the report as soon as you click the Apply icon.
If you want to make multiple filter changes and apply them all to the report at once, clear the Auto-Apply changes option. You must still confirm each condition, but then click the Apply button to have all of the changes apply to the report.
